Frequently Asked Questions
When setting up a new Cardholder, do we need DOBs or just confirm 18+?
Dates of birth are required. We must perform mandatory PEP and sanctions checks on an ongoing basis. We will also have to check the cardholder’s identity. If you have an account with them and have already done this, we may be able to avoid duplication.
How long does a new card take to arrive after we submit details?
We order cards on Mondays and Thursdays. Delivery is typically within 10 working days.
Do you offer a Tax Certificate like Edenred?
No. Individual cardholders are responsible for any tax implications (e.g., Benefit in Kind). QPay does not provide tax certificates.
Who should customers contact if there are problems?
QPay has a dedicated customer service line (Mon–Fri, 09:00–17:30). Cardholders can also contact us via their online portal.
How do we transfer/load funds?
Upon receiving your load request, QPay issues two invoices: one for the 1.75% load fee and one for the load funds—each paid to separate accounts (details on the invoices).
Do you have launch literature we can share with customers?
We can provide standard Q&As and guidance. Ask us for the latest materials to suit your rollout.
What does this cost?
There will be a small set up fee after which we only charge for loading the cards and postage – give us a call to discuss.
Can we add future cards individually at no cost?
As long as we receive load funds when the cards are ordered the only ongoing costs are the load fee and postage.
Can we cancel cards for non‑payment and reclaim card balances?
No. Once loaded, funds belong to the individual cardholder and cannot be clawed back for non‑payment.
Can the cards be used for fuel?
Yes, but not at pay‑at‑pump. Use chip & PIN inside the kiosk.
